Merging Transactions
Combine duplicate transactions on Iluminai into one.

Overview
When reviewing Transactions in your account, you may occasionally notice duplicate Transactions that represent the same deal. This can happen for a few common reasons, and Iluminai provides a built-in Transaction Merge tool to resolve it.
Transactions in Iluminai can be created in several ways:
- FINTRAC records - Once a FINTRAC record is approved, a Transaction is automatically created for the deal and client.
- Deal Manager Imports - Transactions may be created through brokerage deal manager imports (e.g., LoneWolf, DealManager, etc.).
- Manually creation
- Backoffice Users: Transactions can be created manually via Transactions > New
- Agent Users: If enabled on your account, Agents can have the ability to also manually create a Transaction on their end before beginning a FINTRAC record.
Iluminai can only automatically associate records to an existing Transaction when the Trade/Transaction/Reference Number matches or if all identifying fields are exact matches: full address, close date and representation side. This strict matching is required to safely confirm the records belong to the correct deal. If any of these fields differ, automatic matching will be skipped and duplicate Transactions may be created. In these cases, manual review and merging the records is recommended.
This is where the Transaction Merge feature comes in. When you identify duplicate Transactions, you can merge them into a single Transaction by selecting the correct (or "winning") attributes from each Transaction.
Merging a Transaction
Merging two Transactions will consolidate all associated Profiles, Agents, Forms, and Notes into a single Transaction. During the merge, you can choose which attributes to keep from each Transaction (such as the address, trade/transaction/reference number, close date, and other details). These selected values will be used for the resulting Transaction.
How the merge process works
Merging a Transaction follows a 3-step guided process:
- Select the Transaction to merge with
- Compare and select Transaction attributes
- Review selected attributes and confirm the merge
Step 1: Select the Transactions to merge
- Open one of the duplicate Transactions
- Click the Options dropdown and select Merge Transaction
- Click the Search box and choose the other Transaction you want to merge with
- After selecting the second Transaction, scroll to the bottom and click Next
Step 2: Compare and select attributes
In this step, you'll see a side-by-side comparison of both Transactions
- Select which values you want to keep for each field
- Fields with the same values are automatically selected
Once you've selected the required fields, click the Next button at the bottom of the page
Step 3: Review and confirm the merge
- Review the final Merged Transaction summary
- Once you've finished reviewing the Transaction, click Merge
- A confirmation dialogue will appear, click Confirm Merge
Note: Merging two transactions is an irreversible action.
