Overview
As a Backoffice User with either the Admin or Owner role type, you can invite other users (including Agents) to your Account.
The User Management area can be accessed by finding and clicking on your Brokerage name in the top right corner of the screen → Manage Account → User.
Adding or inviting new users
To invite a new user into your Brokerage account:
- Navigate to the User Management area by clicking on your Brokerage name → Manage Account → Users
- Click on Invite in the top right corner of this screen
- In the Invite Users dialog, provide a one or more email addresses separated by commas, and select the Default Role which will be assigned to these users once they accept the invite
Note: Learn more about User Roles and Permissions in Iluminai.
Note: If you need to invite a large number of users, check our article on Bulk Inviting Users.
Note: An invite is only valid for a 24 hour period from the point it was sent.
Managing invites
Clicking on an existing invite from the list will allow you to modify certain properties or take actions relating to the invite.
Changing the Role
The role which was originally specified when the Invite was created can be changed at any point up to the User accepting the invite and registering for a User account with the Brokerage.
Resending an Invite
As an Invite is only valid for 24 hours from the time it was first sent there will be the need to resend an invite to a recipient. This can be accomplished by clicking on an existing Invite and clicking on Resend Invite link. A confirmation message will be displayed indicating that the action occurred successfully.
Cancelling an Invite
An Invite can be cancelled or removed using the button in the bottom left corner of the screen. This action revokes the request for a User to join the Brokerage account and will remove it from the main Users list.
Managing users
When an Invite has been received by a User and they have performed the required registration steps they will be converted to a User within your Brokerage account.
Changing the Role
The Role of a User can be changed at any time.
Note that when changing the role of an Agent to that of an Admin, the Agent will no longer be able to create and manage their own forms and documents.
Deactivating a User
Rather than removing a User from your Brokerage account, the User can be deactivated which may be more suitable for short term leave.
When a User is deactivated they will no longer be able to sign into the Brokerage account.
Removing a User
In cases where a User is not longer employed with your Brokerage, their User account can be removed. This will not affect any records they have previously completed.
